How it works

  1. Collect the factsAgency, states, staff, approved tools, owner, reviewers and system of record.
  2. Name the approved toolsEach with its account type and whether it may see client data.
  3. Set the data rulesA named list of what never goes into any AI tool.
  4. Require reviewA person checks everything; a licensed agent checks anything about coverage.
  5. Plan for mistakesWho to tell, how fast, and what not to delete.
  6. Sign and scheduleStaff acknowledgment, effective date and next review date.

Have this ready

  • Your agency, states and staff count
  • The AI tools you approve and their account types
  • Who owns the policy and who staff report problems to
  • Who counts as a licensed reviewer
  • Where final client work is saved

What you get back

  • A one-page AI use policy
  • An approved tools table
  • A staff acknowledgment line
  • A cover note with items to confirm

2. APPROVED TOOLS
Northwind Assist | Agency team plan | Masked client data OK
QuillDesk | Inside our email tool | Marketing only
Anything not on this list is not approved for agency work.

3. CLIENT DATA RULES
Never paste Social Security numbers, driver's license numbers, dates of birth, bank details, claim medical details or passwords.

5. LICENSED REVIEW
Anything about coverage is checked by a licensed agent against the actual policy before it goes out. AI never tells anyone they are or are not covered.

I have read this policy and will follow it. Name, date, signature.

Before you paste anything in

Use only an AI tool your agency has approved, and remove client personal details (Social Security and driver's license numbers, dates of birth, bank details, medical details from claims) before you paste anything in. The skill drafts; a licensed agent checks it against the actual documents before a client sees it.

Questions

Is this legal advice?

No. It drafts a policy for the agency owner to adopt. Privacy, data security and notification rules vary by state, so check with your state's insurance department or your attorney.

Do agencies really need a written AI policy?

The Big "I" ACT 2026 Tech Trends Report found more than 55% of agencies have no written AI use policy, while staff use is growing. A one-page policy answers the questions staff face every day and the ones your E&O carrier may ask.

Does the NAIC AI bulletin apply to my agency?

The NAIC model bulletin adopted Dec. 4, 2023 applies to insurers, not agencies. Carrier partners may still ask how you use AI, and this policy gives you a clear answer.
